Privacy Policy

Introduction

TrackStage ("we," "our," or "us") is operated by RobottWorks, Ltd. This Privacy Policy describes how we collect, use, and protect information when you use the TrackStage website, desktop application, and mobile application (collectively, the "Service").

Our commitment: We collect only what we need to operate the Service, we never sell your data, and we protect what you share with us. This policy covers the TrackStage website at trackstage.io, the TrackSync desktop application, and the TrackStage iOS mobile application.

Information We Collect

The following table summarizes the categories of information we collect and why.

Data Category What We Collect & Why
Account Information Your name, email address, and password (stored in hashed form). Used solely to authenticate you and provide access to the Service.
Music Catalog Metadata Track titles, composer and publisher information, genre classifications, split sheet data, and related descriptors. Provided by you; used to power the core functionality of the Service.
Cached Audio Files A copy of each MP3 you connect as a primary or alternate track. Cached on our servers so you can generate shareable streaming links and pitch tracks without a separate upload. Not publicly listed unless you feature the track on your Artist Showcase. See Section 3.
Collaborator Details Names, email addresses, and signature records of co-writers and collaborators you add to split sheets. Used to prepare, circulate, and record execution of those documents. Processed by DocuSeal where a document is sent for signature.
Device Information Basic device type, operating system version, and app version. Used to diagnose technical issues and improve stability. Not used for advertising or sold to third parties.

Your Files and Your Device

Your music library stays on your own device. The TrackSync desktop application accesses only the folders you choose to connect to it, together with the supporting components required to maintain that connection. It does not scan, index, access, modify, or transmit any other part of your storage, and we have no visibility into the rest of your device. You may disconnect a folder at any time.

One exception applies. When you connect an MP3 as a primary or alternate track, a copy of that file is cached on our servers so the Service can generate a streaming link for pitching and sharing. Cached files are not indexed or listed publicly unless you choose to feature the track on your Artist Showcase, which permits streaming only and does not permit downloads.

Please note that any streaming link you generate is accessible to any person who obtains it, whether shared through the pitch function or by copying the URL, and may be forwarded by its recipient. Such links are unlisted rather than access-controlled. You may remove a track from your showcase, or delete a cached file, at any time from within your account.

Third-Party Services

The following third-party services are used on the TrackStage website and platform. Unless noted, none are used within the mobile app.

Google Analytics 4 Anonymized website usage data — page views, session duration, navigation patterns. May collect device identifiers. Google Privacy Policy
Meta Pixel (Facebook) Tracks page views and conversion events on the website to measure marketing effectiveness. Sets the _fbp cookie. May link activity to your Facebook profile if you are logged into Facebook. Meta Privacy Policy
Cloudflare Turnstile Bot and spam protection on login and signup forms. Processes browser and device signals to verify human interaction. No personal data is stored by RobottWorks as a result. Cloudflare Privacy Policy
Pusher / Ably Real-time messaging infrastructure used to deliver in-app notifications and live updates within the web application. Connection metadata (IP address, session token) may be processed by these services.
DocuSeal Electronic signature and delivery of split sheets. Processes the names and email addresses of the signatories you specify, the contents of the document, notification emails, and signature audit-trail data (including timestamps and IP addresses of signatories). DocuSeal Privacy Policy

Mobile app: None of the above third-party tracking or analytics services are implemented within the TrackStage mobile application.

Cookies & Tracking Technologies

TrackStage uses cookies and similar technologies on our website and within our platform. Cookies are small text files that help a site function, keep you signed in, remember your preferences, and show us in aggregate how the Service is used. In most cases they do not involve personal information. General background on cookies is available at AllAboutCookies.org.

In summary, we use strictly necessary cookies for login and security, payment cookies set by Stripe, analytics cookies (Google Analytics 4), marketing measurement cookies (Meta Pixel), and preference cookies. We do not use cookies to sell your personal information. The TrackStage mobile app does not use browser cookies.

How We Use Your Information

We use the information we collect to:

Authentication Authenticate users and maintain account security
Service Delivery Deliver and improve the core features of the Service
Streaming & Pitching Host and stream cached audio for the links and showcase pages you choose to share
Document Execution Prepare, send, and record the signature of split sheets you initiate
Diagnostics Diagnose technical issues and maintain app stability
Analytics Understand aggregate usage patterns on our website

We do not sell, rent, or share your personal information with third parties for marketing or advertising purposes.

Data Storage & Security

Your data is stored on secured servers. We use industry-standard practices to protect your information from unauthorized access, disclosure, or loss. Account passwords are never stored in plain text.

Data Retention

We retain your account, catalog, and cached audio data for as long as your account is active. Deleting a track or removing it from your showcase removes the associated cached file, subject to short-lived copies held in routine backups. You may request deletion of your account and associated data at any time by contacting us at the address below.

Children's Privacy

TrackStage is intended for use by music industry professionals and is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will promptly delete it.

Your Rights

Depending on your location, you may have rights regarding your personal data, including the right to access, correct, or request deletion of information we hold about you. To exercise any of these rights, please contact us using the information in Section 12.

Residents of California (CCPA) and the European Economic Area (GDPR) may have additional rights. We are committed to honoring applicable data protection laws.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes by updating the "Last Updated" date at the top of this page. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
